What is a receipt, and is it different from an invoice?

A receipt confirms a payment was received; an invoice requests one. They're related but sequential: you send an invoice to ask for money, and once it's paid, a receipt documents that the payment happened, for what amount, and on what date. Clients often need receipts for their own expense claims or bookkeeping, separate from your invoice records.

Who needs a Receipt?

Receipts matter most the moment money changes hands, and for what happens to that record afterward.

Client-side bookkeeping
Expense claims

Clients paying from a business account often need a receipt, not just a paid invoice, to file as a business expense.

In-person & cash payments
No digital trail

When a client pays by cash, check, or direct bank transfer outside the payment link, a receipt is the only record either side has that it happened.

Partial payments & deposits
Payment plans

A receipt for each installment keeps both sides clear on how much has been paid and how much of the invoice remains outstanding.

What is included in your Receipt

A receipt is simple by design, but a few details make it genuinely useful to your client.

What was paid

  • Amount paid and payment date
  • Payment method (card, bank transfer, cash)
  • Reference to the original invoice number

For their records

  • Tax breakdown matching the original invoice
  • Your business details for their expense records
  • Remaining balance, if the payment was partial

Frequently asked questions

Questions about Receipt before you get started?

Do I need to create receipts manually?

No. BillyPaid generates a receipt automatically the moment an invoice is marked paid, whether the client paid online or you recorded a cash or bank transfer payment yourself.

Can I issue a receipt for a partial payment?

Yes. If a client pays part of an invoice, BillyPaid issues a receipt for that specific amount and keeps tracking the remaining balance on the original invoice.

Are receipts sent to the client automatically?

Yes, by default. You can also download any receipt as a PDF from your dashboard at any time, useful for your own bookkeeping or if a client needs a copy resent.
